People & Office Coordinator
Part-time - 16 hours per week, worked as 4 half-day mornings (specific days by agreement), 8.00am - 12.00pm, in office every working day.
Some flexibility to shift hours will be needed to accommodate socials and events outside core hours.
Salary is $45k (pro-rata)

The Role
As our People & Office Coordinator, you'll be the face and heartbeat of MVF's Austin office making sure the space runs smoothly, new starters feel like part of the team from day one, and the culture stays as strong as our results. This role exists to build energy, connection and pride in the Austin office, alongside keeping the day-to-day running like clockwork. You'll work closely with the wider People team (based at our London, UK HQ) on onboarding and other People duties, and with the whole Austin office on events, comms and admin.
Responsibilities
Own the day-to-day running of our WeWork space, liaising with the WeWork community team on facilities, access, meeting rooms and any building issues.
Be the first point of contact for the Austin office, greeting guests, managing deliveries, and keeping the space stocked, tidy and welcoming.
Plan and run culture initiatives - socials, lunches, team celebrations and wellbeing moments.
Coordinate onboarding for new starters - complete I-9 checks, equipment set up (in coordination with our UK IT team), desk setup, welcome packs, first-week schedules and WeWork access, so every new MVFer feels set up from day one.
Act as a local point of contact for basic HR queries (including being a local contact for the PEO - Trinet), escalating to the wider People team where needed.
Manage calendars, travel and logistics for senior stakeholders and visiting UK/ overseas colleagues.
Organize and support internal events, meetings and guest visits, including catering and AV/logistics.
Track and order office supplies, manage vendor relationships - keeping within budget.
Champion office health & safety and wellbeing, flagging and resolving issues as they arise.
Act as Evacuation Officer for the space to help with fire drills and other safety issues.
Support internal comms (in collaboration with our UK comms team) for the Austin office - keeping the team informed and engaged across UK/US time zones.
Assist our UK based Talent/Recruitment team with interview scheduling for US hiring managers- plus occasionally helping the team with sourcing.
Assist with ad hoc people and office projects as the role and team grow.

Hiring managers experience smooth, well-coordinated interview scheduling with no dropped balls.

Experience in office coordination, front-of-house, HR administration or a similar people-facing role.
A natural connector - warm, proactive and energized by bringing people together.
Comfortable working independently and flexibly across a part-time, 16 hours a week.
Organized with strong attention to detail, able to juggle facilities, people and events tasks at once.
Experience with onboarding, recruitment coordination or HR admin is a plus, but not essential. We can teach the process if you bring the energy.
